Refund & Cancellation Policy

1. Nature of Advisory and Workshop Services
Reasonprismhub Technical Advisory Ltd provides dedicated professional engineering consulting, customized software architecture assessments, and facilitated technical strategy workshops. Because our engagements involve dedicated calendar allocation, lead strategist time, and extensive pre-workshop reconnaissance, our cancellation and refund terms reflect these committed resources.
2. Workshop Booking Deposits & Confirmation
To confirm workshop dates and initiate pre-session codebase reconnaissance, a 50% deposit is required upon execution of the Statement of Work (SOW). The remaining 50% balance is invoiced upon completion of workshop facilitation and delivery of the final Architectural Decision Record (ADR) package.
3. Cancellation and Refund Schedule
- More than 30 Calendar Days Before Workshop Date: Clients may cancel for a full 100% refund of the deposit paid, less any non-recoverable travel bookings already incurred for on-site engagements.
- Between 14 and 30 Calendar Days Before Workshop Date: Clients may cancel with a 50% refund of the initial deposit paid to account for allocated facilitator time and pre-session discovery work already completed.
- Less than 14 Calendar Days Before Workshop Date: Deposits are non-refundable due to the inability to reallocate dedicated strategist time. However, clients may reschedule according to Section 4 below.
4. Rescheduling Policy
We recognize that unexpected production incidents, critical software release freezes, or key stakeholder illness can necessitate schedule adjustments:
- Standard Rescheduling (14+ Days Notice): Engagements may be rescheduled once to any mutually agreeable date within six (6) months at zero additional penalty.
- Short-Notice Rescheduling (Under 14 Days Notice): Subject to a 15% administrative re-scheduling fee plus any non-refundable travel expenses already incurred for on-site sessions.
5. Architecture Diagnostic Audits & Retainers
For asynchronous architecture assessments and retainer-based leadership advisory:
- Work Not Yet Commenced: Full refund available upon written notice within 5 business days of contract execution prior to repository data ingestion.
- Work Commenced: Fees are pro-rated based on deliverable milestones completed up to the date of written cancellation notice.
6. Refund Processing and Timelines
Approved refunds are processed within seven (7) to ten (10) business days following written confirmation. Refunds are issued using the original payment method (bank wire transfer or corporate credit transaction).
